27+ Invoice Examples in Google Docs | Google Sheets | Excel | DOC | Numbers | Pages | PDF

Nowadays, free invoices are a necessity in any business dealing or transaction. No transaction is ever complete without it and as simple as it may seem, we need it as proof of that transaction for whatever more reasons that would suit our own purposes.

A simple payment invoice, for example, can be used to represent that transaction as a sales figure to be later input unto a financial statement. This requires to prepare invoice documents and summarize them into a report either for a monthly or yearly presentation. To put it simply, it is like a small pebble placed in a slingshot aimed at a giant. Sounds about right. Right?

What Is the Process of Invoicing?

Invoice processing includes the activities involved from the arrival of an invoice to the posting of the payment or invoice Vs receipt of payment for such an invoice. The general process involves the following steps:

  • The Purchase Order (PO) – After receipt of the purchase order for a particular item or service, the vendor releases ordered goods or performs the services needed in connection to the purchase order.
  • Mailing of the Invoice – The vendor then mails or delivers the invoice to the accounts payable department of the client receiving the goods.
  • Invoice Logging – Accounts payable department enters the invoice into the system corresponding to the purchase delivery order of the material or service. This is particularly helpful in the tracking of actual orders and order completion.
  • Vendor Offset (VO) Document – Generated by the accounts payable department every business day. After scanning an invoice, a VO document is generated which maintains claims against debtor vendors. This document is then used as proof in relation to any debts owed and also in relation to requesting for payment from the accounting department.
  • Accounting Approval – The VO document is then forwarded to the accounting department for approval and routing to the department that started the request. Only after audit from Accounting is funding or the check released to the vendor.
  • Receipt of Payment – The vendor receives the payment or check and applies it to the outstanding professional invoice and receipt. Having a record of the invoice released as well, helps the vendor track paid and unpaid items. To avoid confusion, invoice numbers have been created unique from the moment of delivery to the client.

What Is the Difference between an Invoice and a Receipt?

The main difference between an invoice and a receipt is that an invoice is issued before the payment of a delivered item while a receipt is issued after payment of an item or service.

Similarly, a proforma invoice which is closer to a quote than an actual invoice is a document that shows the intent of the seller to deliver an item or service for an indicated specific amount on the document.

Purpose of a Sales Invoice

As with any invoice, the purpose of a sales invoice is generally:

  • to represent a transaction that happened or serve as a record of that transaction
  • a method in which to ascertain the date any item or service was sold
  • to know how much money was paid
  • a reminder of how much there is in debt
  • track employee performance in terms of sales made and the items sold

A service invoice example found on the page shows important data which includes when a service was made, reference invoice number, the terms involved in the transaction, address particulars, item particulars, and the contact details of the client along with the over all cost of the items or service made.

Importance of an Invoice

As requirement to any business, it must be able to make money or produce profit for the continuity of operations of a business invoice. The way it works, cash flow must generally be in conjunction with cash coming in to cash coming out. Expenditures outweighing profits would potentially spell doom for any business if not all businesses.

An invoice is the first and foremost way of collecting money for a company. Unpaid invoices that pile up can be compared to the build up of snow translating to an avalanche, like an accident waiting to happen.

Information from an invoice is gathered to record total sales for a company. Reports generated from this are used as basis in the evaluation of company performance

Added information taken from invoices are used again as basis in the evaluation of individual self employee invoice, granting their involvement is in the sales of items or services.

In terms of legal proceedings, invoices are made as evidence in particular claims in connection with any item or service.

To summarize, an invoice is like a building block needed in the formation of any revenue for a company or business. A hotel invoice example shown in the page for instance, collectively adds up to, say, the total daily or monthly revenue a hotel does.
