Writing a Wedding Planner Contract

The day will come where everyone has to tie the knot. But marriage is simply not for everyone. You are either fortunate or blessed enough to find your significant half who is willing to spend the rest of his/her life with you, or you are simply asexual and have decided to live out the rest of your life as a priest or as a nun, or perhaps someone independent that he or she does not need a prince or princess in his or her life. Whatever the case, before officially tying the knot together, the guy would have to propose to the girl first.

It is important that you get yourself a wedding planner to help you out with the preparations needed for the big day. From the wedding invitations to the venue where you and your better half are going to get married, to the reception later on in the evening, to the hotel where you are going to spend the night (if ever you would want to rest up and celebrate your first night together as husband and wife *wink wink). And, since your wedding day is often the most magical and most memorable day of your life, you want every detail to be perfect. Nothing should come in between this joyous occasion.

Example of Writing Wedding Planner Contract

First things first. How are you going to start your contract? Do not forget that a contract is a business transaction and that it must be kept short and simple as well as formal. Wedding contracts can be started like this:

Change/Cancellation

Should there be any change or some sort of cancellation to be incurred along the way prior to the event, it is important that it must be indicated there. Here is an example of how this particular section can be written:

Any changes/cancellation made to this contract must be made in writing and signed by all concerned parties. In the event the wedding couple is forced to change the date of the wedding due to some unforeseen event, Wakanda Creations will carry out all necessary adjustments in order to transfer location reservations, sub-contractors and the primary wedding coordinator support to the new date.

The wedding couple agrees that in the event of a date change any expenses including but not limited to deposits and fees that are non-refundable and non-transferable are the sole responsibility of the wedding couple. Additional charges above and beyond may also incur those set in the original contract. The wedding couple further acknowledges that any last minute changes can impact the overall quality of the event and that the wedding coordinator is not held liable for these compromises in quality.

If the bridal couple changes the date/location of the wedding and the wedding planner is unavailable to cater the required services, then the wedding planner is released from all contract obligations and shall in no way be held responsible or liable for non-performance. The couple also forfeits all costs for non-compliance with this agreement. Wakanda Creations will always do its best to find the top suppliers wherever the wedding location is, but we cannot be held responsible for any supplier/service provider’s performance or product.

Cancellation by the Bride & Groom

Example

Should the event be canceled, refunds are limited to unearned fees. Deposits are considered non-refundable and any earned fee will have to be paid in full within one month of cancellation.

Cancellation by the Wedding Coordinator

Example

Should Wakanda Creations be unable to perform any specific tasks in the planning of a wedding, due to some unforeseen events such as sickness or hospitalization, unearned fees will be refunded and we will do our best to find a substitute wedding planner in order to make your event a successful one.

Wakanda Creations is not responsible for any events preventing the wedding to happen, such as fire, flood,
earthquake or any other natural or human acts.

Bridal Couple Responsibilities

Example

The couple is responsible for paying suppliers for their services directly. Wakanda Creations does not accept commissions from any supplier. All suppliers/services contract will be between the bridal couple and the supplier/service provider.

The bridal couple is responsible to pay Wakanda Creations as agreed in the contract. In case the promised payment was not delivered within two weeks of being invoiced, then the company reserves the right to cancel the contract and your wedding date and time may be re-booked by other parties, without exception, and without notice. 

Payment will still be required in order to avoid legal action. On the wedding day, the bridal couple is responsible for any travel expenses to be calculated depending on location, if the wedding venue is more than 50 miles round trip to the wedding coordinator’s home. Any items needed for the big day (ceremony & venue) must be acquired or purchased by the bridal couple in advance. Wakanda Creations is more than happy to do the shopping for you, but the cash must be prepared before buying the items.

Wedding Coordinator’s Responsibility

Thank you for trusting Wakanda Creations to be the wedding planner of your choice in preparation for your big day. The responsibilities that would befall the company includes:

  • Free consultations via email/telephone.
  • Free Face to face consultation. An extra cost will incur if the meeting place is far from the office.
  • Helping out with the budget and the breakdown of the costing.
  • Discussing a theme that would be suitable for your wedding defining who you are as a person.
  • Finding all the needed suppliers as requested by the client.
  • Attendance at meetings with suppliers/service providers as requested. Again, be reminded that the client will be charged with travel expenses if the meeting place is too far from the office of the wedding planner.
  • Go through the program flow of the event itself and check out the venue to make some adjustments (e.g. entrance of the bride, etc…).
  • Provide a detailed timeline to suppliers/service providers and bridal party.
  • Contact the wedding suppliers and organizers one to two weeks before the wedding day to check their status. The earlier, the better. If they don’t think they can make it, you would still have enough time to find a backup.
  • Day coordination and supervision until the end of the wedding dinner (to be discussed with the couple). The wedding planner understands her/his role will be that of adviser and coordinator. The bridal couple will make all the selections of suppliers/service providers.
  • The wedding planner will use her/his better judgment when taking action in regard to changes, weather, tardiness, non-performance etc. based on the situation, time limitations and/or your wishes.
  • In the event of any supplier/service provider’s cancellation, Wakanda Creations may substitute a new supplier/ service provider with or without advance notice to the couple at its discretion and any additional costs to be paid by the couple.

The bridal couple gives permission and shall allow Wakanda Creations to use any photograph of them, the wedding ceremony/reception setting for viewing on their website solely for promotional purposes. The photographer’s name/website will be promoted underneath the photos (if applicable). Wakanda Creations gives permission and shall allow the couple to use any photographs/videos in which the wedding planner appears.

This agreement can only be modified in writing and all changes must be agreed and signed by all parties, or by the acknowledgment of email that is received by both parties.

Fees

The pre-wed couple shall agree to pay Wakanda Creations a service fee of 20% of all vendors total fees or a minimum of £1000 (or £1500 for Weddings Abroad), whichever the greater, for the use of a full wedding planning service.

Any mutually agreed additional services such as travel expense the wedding planner may incur will be paid by the bridal couple. A non refundable deposit of £500 is to be sent with this signed contract to secure a booking.

75% of the balance is due 6 weeks before the wedding day and the final balance on the day itself. A payment plan can be arranged on a monthly basis if required.
