Guidelines in Writing an Effective Report

We all know that the purpose of report writing is to relay the important information in a presentable manner and in order of occurrence. In that case, it should be important that we know how to write an effective report. If you don’t, then read on.

Here are the guidelines in writing an effective report.

  • Determine what is the purpose of your report. This should the first thing to consider because it identifies your whole report. Ask yourself if what report you are going to write. Is it a factual report? Instructional report? Or leading report?
    • Factual reports are informative.
    • Instructional report aims to explain.
    • Leading reports intends to persuade.
  • Identify your readers. Before you start writing your report, you must know who your readers are going to be. Make sure that your report is appropriate to the readers. So that they can read it without delay, understands and comprehend everything in your project reports, and can accept the fact without questions in mind.
  • Identify your report objective. You can do this by asking yourself if what do you want the reader to think after they have read your report or what should they do after reading it.
  • Outline your report. After you have identified your reader and set your report objective, the next thing to do is to outline your report. Here’s a sample outline for you.
    • Title
    • Index
    • Thesis statement of your report
    • Your introduction
    • The body of your report. This is where your write the main structure of your report.
    • Concerns or issues
    • Solutions
    • Conclusions
  • Consider the layout of your report. Use Arial or Calibri (Body) as font and make the size 12″. Use the common business proposal letter format which is 1″ margin each side. If you are going to use pictures, make sure it is visually appealing, easy to understand, and can describe its subject.

    Appendices and references. This section includes the details that support your report and use this section to cite some of your sources.

Basic Tips in Report Writing

Now that you know what is a report and its guidelines and format, it is now time for you to know the basic tips in writing a report. Here are the few basic tips.

  • Make your report simple. Remember that your goal is to inform everyone and give them knowledge about something. Just make it simple and don’t try to impress. Don’t use jargon and terminologies that only you can understand. Make sure that every piece of information is there to properly support your report.
  • Prevent from using passive voice. Instead, use an active voice. Active voice uses fewer words that can make your report smooth and seamless. Using an active voice also highlights the person or thing responsible for an action.
  • Lastly, proofread your report. Or have someone review it for you. In that way, you can minimize or even crash out all the typing error and grammatical mistakes. Consider also having a correct punctuation and spelling. Don’t rely on the computer to do that for you as the computer can not fully identify human mistakes.
