9 Employee Notice Examples & Samples

Aside from being an effective tool in notifying people, notices also enable people to prepare for the things they were notified about. For example, when a landlord sends an eviction notice, the tenant is allowed to prepare for a few days before the eviction takes effect.

Furthermore, employees are not allowed to without quit to notice, so eventually, they need to notify the head of the office when they plan on quitting from the current position they hold in a company—and this is where a notice can be useful.

What Is an Employee Warning Notice?

An employee notice usually refers to the document written by the head of the company to his/her employees, notifying them about certain matters (and may sometimes refer to notices that employees send to their employers, such as a resignation notice). An employee warning notice is a notice which contains a message warning the employees about something.

For example, an employee has committed a violation against the rules of the company notice or the employment contract, an employee warning notice is issued to inform the employee about his/her misconduct, the things he/she must do to avoid consequences for the action, and the consequences if he/she does not abide with the conditions stated in the warning.

Benefits of an Employee Notice

An employee notice gives the HR staff or the head of the office a chance to establish authority, and discipline the employees of a company.

This also allows them to inform the employees of the misconduct they did before giving them the appropriate sanction for the said misconduct. This gives the employees a chance to explain the reason as to why they did the action, and gives them the chance to make up for it, avoiding sanction. Aside from that, if an employee is subject for termination, he/she can make necessary preparations before the termination date.

Also, if employees are having problems with certain company policies or practices, the head of the company sends employee notices to guide them.

How to Write an Employee Notice

Because employers need to communicate with their employees well, they will find employee notices really useful. One reason is that they don’t have to do the announcement personally, which saves time. So if you’re someone who wants to write an employee notice, here are things to guide you with that:

  • Know what your goal is. Different kinds of employee notice have different kind of goals.
  • Consider the reasons why you’re writing an employee notice and write them down. If you’re issuing an employee misconduct or termination notice, provide supporting papers that entitle you to issue a notice.
  • Write the notice clearly. Write something your employees would understand immediately.
  • Keep your short notice. Do not keep your employees too long, as they still need to get back to work.
  • Your notice needs to sound formal, official, and authoritative. This will give your employees the idea that you are not joking in any way.
  • It is important that you proofread your notice many times to avoid confusion and misinformation on your readers’ part.
