Tips in Creating a Corporate Email Signature

Listed below are the tips in creating a corporate email signature. Take note that the tips listed below are not only for corporate email signatures alone but for other types business email signatures as well.

1. List down business information

Business information are also considered as personal information being listed in the simple email signature. The information specifically pertains to your name, designation or position in the company, contact number, and hyperlinks. There is no need to include the email address to avoid redundancy (your email address can already be seen in the email thread).

Make sure the business information is clearly listed or written down in the general email signature. It is very important that the information you provide is readable since you are in contact not only with colleagues and coworkers but also clients and external stakeholders as well.

2. Minimize the use of designs

Unfortunately, the design is not the center of attraction of the email signature. The sample email signature relies on the business information being provided for it to be effective. Hence, the designs incorporated in the email signature should be set to a minimum. In email signatures, it is suggested you go for the 1:1 ratio (one design and one color). The design can be anything, from a simple spherical object or curved line, to a business-related stock photo or image.

Although it is not mandatory to follow the 1:1 ratio, make sure to keep the designs to a minimum. You can add additional colors to make the email signature visually appealing.

3. Use a one- or two-color scheme

Speaking of colors, it is ideal that you use a one- or two-color scheme for the corporate email signature. This makes sure that the colors (and the design) do not overpower the entire appearance of the formal email signature. Again, use the 1:1 ratio in terms of design and color. But if you think the overall look of the email signature is too dull, add one more color.

There are two options in the colors you will be using for the email signature. You can either use similar colors (i.e., blue and light blue, red and maroon, etc. ) or contrasting colors (i.e., green and red, blue and orange, etc.). If you like to go for a simple or minimal look in the professional email signature, go for black and white instead.

4. Insert your photo

A photo always makes any document or identification card legitimate. This is true for email signatures as well. Since you are creating a corporate email signature, make sure the photo you insert shows you wearing a formal business attire (i.e., suit and tie, blazer, etc.). Check your hair and makeup as the photo will focus on the upper half of the body.

The photo placement is similar to other types of identification cards (i.e., photo should be on the left-hand side of the email signature with the business or personal information being listed beside the photo).
