17+ Letter Writing Examples – PDF

letter writing examples

Long before technology became very modern and advanced, people used to communicate using stone tablets or actual letters. Thanks to technological advancements, we now have the ability to communicate with people from very long distances. Whether they are halfway around the world or simply 5 feet away from you, you can actually communicate with them for free now instead of paying very high fares. You may also see how to write an official letter.

Professional Letters were often made and written by hand before the invention of the typewriter took over. Since delivering mail was expensive even back then, people did not exactly have the luxury to ask how their day was or what have they been up to. They instead go directly to the point and say what they needed to say.

More so with the telegraph and the fax machine. And to quote from Avatar: The Last Airbender, “Everything changed when social media took over.”
Letter writing today has already lost its relevance and importance because of free messaging and free communication (if you have Internet, that is). It may not be free and it may be time-consuming, but letter writing actually shows more sophistication and elegance in terms of feelings and passion.

Imagine if we lived in a world wherein social media was nonexistent and that the only form of communication was through letter writing, how would you begin? How would you start? You may also see formal letter writing examples if you need further assistance in drafting a letter.

Getting Ideas for Your Letter

1. Take notes.

As silly and preposterous as it may sound, you have to try and take down some notes before you start letter writing. First and foremost, who are you writing to? Are you writing to your best friend?

Are you writing to your colleague? Your girlfriend? Wife? If so, you may want to think about how to even begin opening up. If it is just you and your best friend, that would not really be a problem as there are obviously plenty of topics that you would like to open up about. After all, it is the little details in a person’s life that the recipient would really get to appreciate better. You may also see notice letter examples.

What are the things that you need to catch up on? Think about it for a while before even making notes whatsoever. Here are some examples of application letters to help you out.

2. Think of questions.

Imagine writing to an old friend or colleague that you have not seen for so long. You may not have communicated as much as before, but in one way or another, you still believe that you are good friends with the person and would want to keep that friendship strong and alive. So, how would you open up your letter? You may also like formal letters examples for students.

Other than showing concern for the person’s well-being, try opening up on how you have been these past few years, on where you are right now, what have you been doing all this time (you know, make conversation). You guys are not exactly children anymore where you can ask silly questions, but try asking more mature and open-minded questions that could really keep the conversation going. You may also check out simple resignation letter examples.

Or you can always attempt to bring up past memories that you two have experienced together. And you know, end on a good note. Don’t stress yourself thinking of possible topics. Look inside your heart and soul and the conversation will just flow naturally. You may also see business proposal letters examples for more reference.

3. Make plans for when you see them again.

In a world without social media or technological advancement, it would be difficult to meet them once more. As a result, you need to simply plan these meetings out accordingly and precisely. Going back to the situation wherein you do not have social media, what do you think would happen if one or the other decides to divert into a different direction, say going to place A instead of place B? That would certainly create a lot of problems.

Should the two of you ever decide to meet up, you would have to be precise as to the location and the time as to when the meeting will occur and where. If ever the recipient does not know where that is, you can always provide him or her with a set of directions that he or she can follow.

If he or she happens to be your old friend who you have not seen in forever because he migrated to another country, you can recommend a list of things and activities that you two can do together. As mentioned before, be specific. For more details and information, you may also check out email cover letters should you have plans submitting your resume and application letter online instead of passing it the old-fashioned way.

4. Tell them what you like about them.

Remember back in the day where young men and women who were in love would often write love letters to each other showing how much they care for each other and how much they mean to them? What is still amazing is that people still do that. You cannot achieve that kind of personal conveyed feelings through text messaging or through social media chatting it to them.

Calling maybe. But placing it in a letter is forever as it reveals the person’s heart and soul. But even if you do not happen to be in a relationship whatsoever, it’s nice and thoughtful to send those kinds of letters to the person on Christmas or on their birthdays to make the occasion more special. This may be optional for most people. You may also check out appointment letter examples for more references.

Writing the Letter

1. Choose your stationary.

What is an official letter if it does not come with a stationery? A stationery is one of the most important things when you send a letter to your special someone or colleague. It does not have to be too elegant looking. It can even be the most basic-looking stationery in the world and you will not be judged for that in any way. It is just a bonus as to how it looks. After all, it is the content that counts the most.

But here is a tip nevertheless when your stationery happens to be unlined: you can lay a piece of lined paper underneath to help guide you as you write. Here are some examples of complaint letters and how to write them should you find the need to write one.

2. Date your letter.

Next would be to indicate as to when you wrote your letter. Dates are indicators to the recipients as to when he or she wrote the letter, especially when you are sending the letter to a person who lives far away. The recipient would have to wait for days, at most a week, should there be any changes in the weather. At least the recipient would know when you wrote the letter to her and why it got delayed. For more details and assistance in writing letters, you may try to refer to employee reference letters as well.

3. Start with a greeting.

Every letter must start with some sort of greeting. Whether you are delivering good news or not, it is only but polite to start it off with a greeting. In that way, it will show as to how courteous and how much respect you have for your friend or anybody else for that matter. You may also see appointment letter format examples.

But if you are just writing to someone very close to you such as your best friend or old buddy, you might want to drop the formalities and simply greet each other as to how you normally do so face-to-face. But when you are writing to a professor or your employer, make sure that the greeting you intend to use is appropriate for the position they hold. For more information, try to check out acknowledgement letter examples if you are still confused on how a letter is supposed to be written.

4. Write the body of your letter.

The body of the letter. The most important part of them all. No matter how long or short your body is going to be, the most important thing you might want to remember is to make sure it comes from the heart and is really everything that you want to say. It is at this stage you may want to lay everything out there in the open. If there are issues that are left unresolved, it is now time to say it or forever hold your peace. You may also like how not to write a business letter.

Whatever important things or matters that you need to tell the person, do so. Otherwise, you might end up regretting it (or, you can always whip up a new one). Here are some offer letter examples to help you get started in writing one.

5. Write your closing lines.

Finally, wrap up the letter with closing salutations of your own as well. If you happen to be writing to your best friend, you can say something like, “I love you! Write back soon!” (ew, cheesy). Ending the letter with “Sincerely yours” or just “Yours” might also suffice. You may also check out how to email a resume and cover letter.

Before you close your letter, make sure you place your name after the closing salutation so that you can personally sign the said letter. In case you forget to write something in your letter, you can always go back and add a P.S. with the message you forgot. Here are more examples of letters that you can refer to such as a complaint letter to service providers in case they provide you with terrible service.

Mailing the Letter to Your Best Friend

1. Fold your letter.

Now that you are done writing the letter and is ready for delivery, fold your letter properly and slowly. A good way to know if it is a good fold is that the letter is divided into thirds horizontally. It is actually not that hard or complicated. Once you are done folding the letter into thirds, seal it.

The easiest way to do so would be to lick the inner flap of the envelope. But most, if not all, envelopes already have double-sided tape that everyone can easily remove for it to be properly sealed. If you want to do it with more finesse, you can always use a wax seal that officials would use in the olden times to send official documents. It is actually kind of cool if you think about it. You may also see simple cover letter examples.

Or you can simply place a sticker or a piece of decorate tape over the front flap of the envelope for decoration if none of the aforementioned options work out for you. Here are some examples of thank-you letters that serve as further reference if you need help writing letters.

2. Address the letter.

That letter is just going to sit on your desk if you do not mail it. Just remember that on the envelope, write the street number and name on the line underneath the name.

On the next line, write the city, state, and zip code. In the top left-hand corner, write your own name and address. Incomplete details on the address or wrong information that you place on the envelope would usually result to non-deliverance of the letter. Then stick a stamp in the top right corner of the envelope. You may also like business proposal cover letter examples.

As boring and as tedious the process may be, but that was the way on how communication was done other than the use of telephones and telegrams. You may also refer to temporary job resignation letter examples should you wish to resign early from your position due to personal reasons.

3. Place the letter in the mailbox.

If you are one of those people who still have a mailbox with the red thing, then simply place it there and wait for the mailman to deliver the letter to the recipient. Or you can go to the post office directly and give it to the clerk so that you do not have to wait for authorized personnel to go house to house to get your letter. You may refer to termination letter examples should you need more reference and help.

Writing a Traditional Formal Block Style Letter

You may keep in contact with your friends and family through texting or through social media, but at some point, you will soon realize that letter writing is not only applicable to communication to friends and family members, but also to human resources, your supervisor, and people in the professional world as well.

Students would often have the need to make these kinds of letters when they apply as an on-the-job (OJT) intern for a specific company or when they ask data from a certain government office. Should that be the case, you need to understand on how to write a formal letter. For more examples, you may also see immediate resignation letters.

1. Write the sender’s address and telephone number on the top left-hand side of the page.

Now depending on how it goes, if you are representing a company, you may want to use the company’s address if you intend to respond to a query made by that individual.

But if you are the sender, however, it would be best to write your address followed by the street address on the second line. Then, write your city, state, and zip code on the third line. Make sure to include your telephone or contact number under your address. Sometimes, you can simply place the best logo and the business address in the top middle of the letter when you are a representative of a company.

Make sure to center it so that it looks uniform. Here are some simple resignation letter examples for more details.

2. Place the date directly below the sender’s address.

Business Communication teaches us that the date that should be placed in the letter is the day you make the letter and not the day you pass the letter itself. Human resource officers or government offices read thousands of letters per day from different clients or consumers. If you do not hear from them, you can always follow up with them given that a period of time has already passed. You may also like job application letter examples.

Here is a tip when you write a formal letter: If you are writing in a modified block style, everything is formatted to the left except for the date and closing. When writing the date, tab over to the center of the page and place the date in the center. You may also check out some examples of recommendation letters.

3. Place the recipient’s name one line beneath the date (two hard returns on a keyboard).

Include his or her title (Mr., Mrs., Ms., Miss, Dr., etc.). Follow the recipient’s name with his/her job title. Below the name, write the name of the company.

One line below that, write the recipient’s street address. On the next line, write the recipient’s city, state, and zip code. If you do not know the recipient’s title, do some background research or call the company to find out. Always use a woman’s preference (Mrs., Ms., Miss, or Dr.). If you do not know a woman’s preference, use Ms. Here are some examples on how to write incident report letter examples.

4. Give the person you’re addressing a salutation.

“Dear Sir/Madam” works fine, or if you know the name of the person, address them directly; ensure, however, that you address them formally using “Rev.,” “Dr.,” “Mr.,” “Mrs.,” or “Ms.” and include their full name if known. Place a colon after the salutation and add a line (two hard returns) between the salutation and the body of the letter. You may also check out business reference letters for more details and information.

5. Write the body of the letter.

The body of the letter need not be more than three paragraphs. If you can’t say it in three paragraphs or less then you’re probably not being concise enough. Single space and left justify each paragraph within the body. You may also check out two weeks notice letter examples.

6. Sign off your letter with the appropriate salutation.

In all letters, it is but appropriate to have a closing salutation for it. Be mindful not to make the closing salutation too personal as you are writing for a professional and not a friend or family member. Closing salutations such as “Sincerely yours,” “Yours,” “Yours truly” will simply suffice. There is no need to get too personal. For more examples on the different kinds of letters that people write, you may also see relocation resignation letter examples.

7. Proofread your letter.

If you do not intend to even proofread your letter after you are through making it, why do you even write it in the first place? Make sure to check for typographical errors, grammatical errors, and even the ones involving sentence structure. Polish your letter as much as you can to make it presentable.
