What Is an Event Services Agreement?

An event service agreement is a contracted document that legally binds two or more parties to an event service company.  The agreement consists of the terms and conditions of the service company wherein is defined by how they would want to see it as such. In addition to that, the agreement would also state the responsibilities and often than not what is expected in the coordinators event services. It also states the general or common terms that an agreement may have like the fees, the name and contact information of the client and of course the venue.

In addition to that, the reason as to why you should always have an event service agreement is to make sure that all the discussions between or among the parties are all placed in the form of writing. The agreement serves as a way to discuss and uphold what has been agreed on in a legally binding document. It also serves as a way to explain to the clients that this agreement can only be null and void if one party refuses to go through with it.

How to Write an Event Service Agreement?

One thing you should always take notice of when it comes to event service agreements. They are necessary. So writing them should also be something you need to be serious about.

1. Draft Your Agreement

Writing your agreement then and there without the necessary information is going to subject you to a lot of mistakes. Agreements are documents that need to be taken seriously, a lot of mistakes in the document shows you do not take this professionally. Draft it first. See what you want to add and what not to add.

2. Get Information from the Client

Once you have something written from your draft, even just a little bit, it’s time you get or ask the details that are required for your agreement to work. Details that range from the name of the client, their business address and their contact details.

3. Define in Detail Your Terms and Conditions

Details are important in an agreement. So are your terms and conditions. An agreement cannot work without the party’s terms and conditions. This means that what terms you may be using for the whole agreement has to be defined in simple terms for the client to understand.

4. Make the Final Output of the Agreement

When all your terms and conditions and the information you got from the party is settled, it is time you make your final output. Make sure that the final output has little to no errors. This includes the details given by the client. Always double check with them if the information is true to their knowledge.

5. Both Parties Should Sign and Give a Copy

All parties present should be signing the agreement. Once that is done, print out a different copy or make a copy of the original agreement and give it to your client. This is often optional for some, but it is also the best way to let your client know that they have their responsibilities in the agreement as much as you do.

FAQs

A document that states the event services of an event planner’s business, that is rendered to the client.

Why should the terms be defined in the agreement?

The terms should be defined in the agreement as the terms you are using would be found throughout the agreement.

Why is it important to give a copy of the agreement to the client?

The client has every right to ask for a copy of the agreement that they signed. This is to make sure that nothing has been changed or edited without their prior knowledge.

When clients hire an event planner or an event organizer for their event services, there are some things that they often ask them to do. But before the organizers would answer, it is best to set up an agreement between or among the parties present. That way, what kind of services the event organizers can offer, the client is able to know or at least get some knowledge from it. As not all event services have the same as well as not all clients would want something that is too expensive if they can get it from a cheaper price. Agreements help by explaining this.
