Creating a Schedule in Outlook

Microsoft Outlook offers many different advantages and one of them is the creation of schedules on a calendar. To do so, just follow these simple steps:

  • Upon opening the Outlook program, click on the calendar page.
  • Next click on the “New” button located on the toolbar which will open a “New Group Schedule” window.
  • Type in a name for the schedule and click “OK”.
  • Click on the “Add Others” button and select “Add from Address Book”. Add appropriate users under your personal contacts or alternately click “Add Public Folder” to choose all contacts in a public folder.
  • Click on the contact names listed that you want to add to the schedule.
  • Click “OK” and then click “Save and Close”.

Types of Work Schedule

Work schedules depend on the company and the nature of the job. The following are the most common types of staff schedules:

Fixed work schedule – As the name implies, this schedule is made of a time table having the same number of hours and days worked per week. This typical and the most common work schedule usually has been agreed upon by both the employer and employee.

Flexible work schedule – This type of schedule is decided upon by the employee and employer and shifts can often be interchanged depending on the needs of the employer and life of an employee.

Full time work schedule – Having full-time work schedule carries benefits like vacation, sickness, health benefits, insurance and other options. The time of work is usually the same and anything in excess is considered to have overtime pay.

Rotating work schedule – This schedule rotates the schedules of its employees through day shift, night shift, and early morning shifts. It aims to distribute different shifts to all employees so no particular group of employees are left on less desirable shifts. This type of schedule acts like a double-edged sword since, on one hand, you get to spend time with the family or friends, and in the other, your sleeping and eating patterns will get affected.

Part-time work schedule – A shift schedule that is less than full-time employment and does not include benefits which full-time employment offers. It is however also a kind of flexible schedule since work hours can vary from week to week or day to day depending on the needs of the employer.

Tips in Making a Schedule

Before the actual process of making a schedule for employees, the following should be taken into consideration:

Knowing your employee’s preferences helps in setting where that employee will be placed or scheduled. An employee who is a night person aptly belongs to the night shift where he can be more productive and alert. In the same way, a person who enjoys waking early mornings and feels drowsy late afternoon should do well in early morning shifts.

Assign the critical work first. Employees who are assigned critical work should be placed in schedule first to get the more important things out of the way and the other tasks can be assigned to the remaining ones. Always have a backup plan in case of absences or emergency leaves.

Informing employees ahead of time regarding of the change of shifts or schedules will allow them to actually get ready or condition themselves for the said schedule.

Why Is a Schedule Important?

A schedule is important most specially in business since it helps identify the tasks involved or required to achieve a certain smart goal. It also defines the task further by identifying the key personnel involved with doing the task and the time it requires to finish the given task.
