What Is a Request Letter to a Principal?

A request letter is a type of formal letter wherein you ask for permission from the principal or the head of the school or company you are writing the letter for, before doing a type of action. A request letter to a principal can differ in length. But it is rare to find a request letter that is two pages long. Request letters are most if not all the time a page long.

How Do I Write a Request Letter?

Like any other formal or informal letters, there are guidelines in which you must follow to write the correct request letter. Here are the following instructions in making a request letter.

  • Place the exact date of the letter.

When writing the date, avoid using numbers and symbols like 01.01.2021, 01-01-2021, 01/01/2021. In a formal letter, this should be avoided at all costs. Rather, write the month, the day and the year this way. January 01, 2021. The date should be placed on the left side of the paper. 

  •  To whom is the letter for.

Write the name of the recipient for the letter, their title, the school, the address and contact details. If it so happens you do not know who you are going to send the letter to, simply add The Principal in bold. Put a few spaces after and start with an opening salutation. Dear Sir/Madam is reserved only if you do not know the name of the recipient. Write the name after Dear and the title prefix. 

  • In the body of the letter, state your reason for the request letter. 

Give a reason why your request should be agreed on and how it can benefit the people requesting it. Get to the point of your letter. Fancy words and sentences do not belong there, and it will not matter how short it is, as long as the intent is there. For the second paragraph, do not forget to thank the person you are writing the request letter to. 

  • End the letter.

End your letter with a closing remark, leave some spaces and add your complete name and signature.

Is the subject really that important when I want to write a request letter?

Yes. The subject has to be placed within the body of the letter. This is the reason why you are writing one. Without the subject, the whole letter falls apart.

I know the name of the principal, do I still have to write Dear Sir/Madam and their name?

If you know the name of the person you are writing your request letter to, do not put Dear Sir/Madam and their name. Only use Dear Sir/Madam if you do not know the person you are writing to.

Do I need to write “I humbly request” at the end of my paragraph?

Yes. Since you are requesting the principal to look into the matter of your letter. It also sounds formal and very polite.
